INTRODUCTION

This privacy policy sets out how the Northmoor Community Association (NCA) collects and uses any information that you give us. It applies to information we collect about visitors to our website and people who use our services (including subscribers to our e-newsletter, course enquirers and attendees). It also applies to those who provide information to us for other reasons, such as job or volunteer applicants.

 

Parts of the site may ask you for more information so that you can use services or complete transactions. You’ll always be told when this information is being collected. In many cases you’ll be asked to enter it – for example, an email address for correspondence. This information will only be used for the purposes stated.

 

NCA is the Data Controller for the purposes of the Data Protection Act 1998 and (from 25 May 2018) the EU General Data Protection Regulation (GDPR) 2016/679 (“Data Protection Law”).  This means that we are responsible for, and control the processing of, your personal information.

 

We process personal data for numerous purposes to enable us to provide a voluntary service for the benefit of the public in a particular geographic area as specified in our constitution; to fundraise and promote the interests of the charity; manage our employees and volunteers; maintain our own accounts and records.

 

We review our retention periods for personal information on a regular basis. We are legally required to hold some types of information to fulfil our statutory obligations (for example HR, Financial, Safeguarding). We will hold your personal information on our systems for as long as is necessary for the relevant activity, or as long as is set out in any relevant legislation and our Retention Policy

NCA a community anchor with a 18 year history of providing essential services/activities to the Northmoor neighbourhood in Longsight, a registered charity (no. 1091595) and company limited by guarantee (no 4227867). NCA comprises of Northmoor Community Centre – registered address: 95-97 Northmoor Road, Longsight, Manchester, M12 5RT and Northmoor Community Laundrette – registered address – 103 Northmoor Road, Longsight, Manchester, M12 5RT

What we collect

We may collect the following information:

  • Name, job title and employer

  • preferences and interests

What we do with this information

  • keeping you updated on the latest NCA developments and the services we offer
  • we may periodically send promotional emails about new products, special offers or other information which we think you may find interesting using the email address which you have provided – this could include sending promotional emails on behalf of trusted third party partners but we will never share your personal data with these organisations.
  • from time to time, we may also use your information to contact you for surveys or questionnaire purposes. For this purpose we may contact you by email, phone or post. We may use the information you provide to customise the services we offer according to your interests.
  • we will share the outcomes of this research (such as survey findings) with you and partner organisations but we will never share your personal data with these partner organisations without your explicit consent.

How do we use the information we collect?

We need this information to enable you to access our services and to better understand how we can provide you with a high-quality service, and in particular for the following reasons:

  • to fulfill our charitable duties including the collection and delivery of goods
  • to provide services, resources or website features to you that you have requested;
  • to deal with enquiries and feedback from you;
  • to enable you to use restricted parts of our website;
  • to send you newsletters and other relevant communications;
  • to manage and administer our website;
  • to send you emails or letters offering you to take part in a survey and/or give feedback;

Who has access to your information?

We will not sell or rent your information to third parties. Please be reassured that we will not release your information to third parties beyond NCA and our core consortia partners, unless you have requested us to do so, or we are required to do so by law, for example, by a court order or for the purposes of prevention of fraud or other crime.

NCA will take reasonable technical and organisational precautions to prevent the loss, misuse or alteration of your personal information. We will take reasonable technical and organisational precautions to store, process and transport all personal information you provide in a secure manner.

When you give us personal information, we take steps to ensure that it’s treated securely. Non-sensitive details (your email address etc.) are transmitted normally over the Internet, and this can never be guaranteed to be 100% secure.

Once we receive your information, we make our best effort to ensure its security on our systems. Where we have given (or where you have chosen) a password, you are responsible for keeping this password confidential. We ask you not to share your password with anyone.

How long do we keep your personal data?

We will endeavor to keep data only for as long as we need it. This means that we will delete it when it is no longer needed. We will keep some records permanently if we are legally required to do so and may keep some other records for an extended period of time to follow best practice. For example, it is currently best practice to keep employment records for 5 years and financial records for a minimum of 3 years, to support HMRC audits.

 

Your rights about your personal data

You have a range of rights over your data, which include the following:

  • Where data processing is based on consent, you may revoke this consent at any time and we will make it as easy as possible for you to do this (for example by putting ‘unsubscribe’ links at the bottom of all our marketing emails).
  • You have the right to ask for rectification and/or deletion of your information.
  • You have the right of access to your information.
  • You have the right to lodge a complaint with the Information Commissioner if you feel your rights have been infringed.
